Senior Office Administrator

O’Neill Dental Care are a private dental practice based in Swords, Co. Dublin. Our practice has a long history of providing excellent dental care and oral hygiene to our patients.

We provide dental care to prevent issues, routine treatments, and cosmetic dental procedures.

We need a Senior Office Administrator to provide great customer service and keep our practice running smoothly.

The Role

As a Senior Office Administrator your role is both diverse and highly important to the smooth operation of the Practice.  You will handle a variety of tasks on a daily basis. Daily Duties would typically include:

  • Recording Payments: Managing and recording financial transactions, processing invoices, and handling cash or electronic payments.
  • Scheduling Patient Appointments: Coordinating and scheduling appointments for clients or staff, maintaining appointment calendars, and ensuring efficient time management.
  • Answering Phone Calls: Handling incoming phone calls, directing calls to appropriate personnel, and providing information to callers.
  • Responding to Emails: Managing email correspondence, responding to inquiries, and distributing emails to relevant individuals.

Acting as the first point of contact for the business, making a good impression, and fostering patient interest in the practice’s offerings. You will need to learn about the practice, procedures, and typical patient journey in order to confidently provide assistance with the following:

  • Offering detailed information about the company’s products and services to callers and visitors.
  • Answering questions and addressing concerns from potential patients, ensuring they have a positive experience and understanding of what the business offers.
  • Assisting with marketing efforts by distributing promotional materials and sometimes guiding potential patients through the early stages of the sales process.

These tasks are integral to their role in supporting the business and contributing to new patient acquisition efforts.

Yo will be responsible for ensuring that business bills are paid. This task typically includes:

  • Tracking invoices and bills received, ensuring they are approved for payment.
  • Preparing and processing payments for various bills, including utilities, rent, and supplier invoices.
  • Record Keeping: Maintaining accurate records of all transactions and payments made.
  • Ensure all payments are made on time and accurately.
  • Monitoring the budget to ensure expenses are within allocated limits and flagging any discrepancies or issues.

The perfect candidate needs a mix of skills and experience to handle the various duties of the job well. key skills and experience required:

Skills:

Strong organisational and time-management abilities, proficiency in office software (e.g., Microsoft Office Suite, email systems, and scheduling tools).

Excellent verbal and written communication skills, ability to interact professionally with clients and colleagues.

Ability to provide exceptional customer service, handle inquiries, and resolve issues efficiently.

Financial Skills: Basic understanding of financial processes, ability to manage invoices, payments, and budget monitoring.

Capability to handle multiple tasks simultaneously and prioritise effectively.

Strong attention to detail to ensure accuracy in record-keeping, scheduling, and financial transactions.

Ability to think critically and solve problems as they arise.

Experience:

Previous Administrative Experience: Ideally 3-5 years of experience in an administrative role, preferably in a senior or supervisory capacity.

Experience with Office Management: Experience managing office operations, including handling correspondence, scheduling, and maintaining office supplies.

Financial Management: Experience with accounts payable, processing payments, and managing financial records.

Customer Interaction: Experience dealing directly with customers, providing information about products and services, and handling customer inquiries.

Familiarity with office software and equipment, as well as any specific industry-related software.

Additional Qualifications:

Education: A degree or certification in business administration or a related field can be advantageous.

Professionalism: A professional demeanor and appearance, as the Administrator is often the first point of contact for the business.

Reliability: Demonstrated reliability and a strong work ethic.

This Benefits

Salary €35,000 to €40,000 depending on experience.
